Zencore Dynamics Ltd. (“Zencore”, “we”, “us”) is a heating, cooling and hydronics
contractor based in Anmore, British Columbia. This policy explains what personal
information we collect, why, and what we do with it. We follow British Columbia’s
_Personal Information Protection Act_ (PIPA).

## What we collect

**When you contact us or ask for a quote** (website forms, the “Find your system”
tool, email or phone):

 * your name, phone number, email address and town or address
 * details about your home and heating or cooling system that you choose to share
 * photos you send us

**When we do work for you:**

 * your service address, equipment details and service history
 * quotes, invoices and payment records

**When you visit the website:**

 * basic technical information your browser sends (IP address, browser type, pages
visited), kept by our web host for security and to keep the site running
 * visit statistics from **Jetpack Stats**, a WordPress tool run by Automattic Inc.
It records things like your IP address, browser type, the pages you view and
the site that sent you, so we can see which pages people use. Automattic processes
this data in the United States under its own privacy policy (automattic.com/privacy).
We only see totals, not who you are.

We don’t use advertising cookies and don’t sell or share visit data for advertising.

We don’t collect more than we need to do the job.

## How we use it

 * to answer your enquiry, book visits and give you a quote
 * to do the work, keep service records and remind you when maintenance is due
 * to invoice you and keep our accounting records
 * to meet legal, tax, warranty and licensing obligations (for example, permits
   and equipment registrations)

We don’t sell, rent or trade your personal information. We don’t send marketing
email unless you’ve asked for it, and you can unsubscribe at any time.

## Our accounting software (QuickBooks Online)

We keep customer, quote and invoice records in QuickBooks Online, run by Intuit.
We use our own connection to QuickBooks (the “Zencore Dynamics QuickBooks app”)
so our business tools can read and update our own company’s records, such as creating
an invoice after a job.

 * The connection only reaches Zencore Dynamics’ own QuickBooks company. It isn’t
offered to other businesses or the public.
 * It uses Intuit’s secure sign-in (OAuth 2.0). We never see or store anyone’s Intuit
   password.
 * Access keys are stored securely and only used for our own bookkeeping.
 * We can disconnect it at any time from QuickBooks or from our side.

Intuit’s handling of the data is covered by Intuit’s own privacy statement.

## Who we share it with

Only who we need to, to do the work:

 * suppliers and manufacturers, for warranty registration and parts
 * utilities and rebate programs (for example FortisBC), only when you ask us to
apply for a rebate for you
 * permit and safety authorities (for example Technical Safety BC), when the law
   requires it
 * service providers who run parts of our business (web hosting, email, accounting
software, Jetpack site statistics). They may store data outside Canada, including
in the United States, where it can be subject to those countries’ laws.

## How long we keep it

We keep job and invoice records for as long as tax law and warranties require (generally
at least 7 years). Enquiries that don’t turn into work are deleted within 30 days.

## How we protect it

We use password-protected accounts with two-factor sign-in where it’s offered, encrypted
connections (HTTPS), and we limit access to the people who need it.

## Your choices

You can ask to see the personal information we hold about you, ask us to correct
it, or withdraw consent for anything that isn’t legally required. Email us and we’ll
reply within 30 days.
